Your team retypes data that exists one screen away, chases documents by hand and keeps status in one person’s head. We map that process, prove the automation in report-only mode, and hand it over documented.

Free audit

Tell us what eats your team's week. You get a written reply within two working days: what to automate first, and what it would take.

Two questions, answered by email:

  1. 1What eats the most hours each week?
  2. 2Which tools does it run through?

What this usually looks like before we arrive

  • The same data gets retyped between your CRM, your spreadsheets and your invoicing
  • Work stalls because a handoff depends on one person remembering
  • Nobody can say where a job is up to without asking someone
  • Good replies go cold in an inbox next to recruiters and spam

What we build

n8n Automation

We build n8n workflows for teams already doing the work by hand across several tools. Every workflow runs in report-only mode for a week before it can write anything, and anything the rules do not cover goes to an exception queue rather than through silently. You own and edit the result.

CRM Automation

We automate the CRM you already run, whether that is HubSpot, Pipedrive or Airtable, so records update themselves and follow-ups go out on a ladder instead of when someone remembers. On the last build that ladder sent 214 reminders and none of them came from a human. Rules run in report-only mode first.

Workflow Automation

We map your processes end to end, then ship them one at a time so the team absorbs a single change a week. Each one runs in report-only mode before it writes anything. A recent seven-process programme took twelve weeks and removed $312,529 a year of operating cost.

Sales & Marketing Dashboards

We build reporting on top of the systems the work already happens in, so a number is calculated the same way every week rather than reassembled by hand each Monday. Pipeline, cost per lead, cash collected. On a recent build, days sales outstanding fell from 41 to 22.

LinkedIn Outbound Systems

We build a LinkedIn outbound system that runs the same sequence every weekday whether anyone is thinking about it or not. Daily caps sit below the platform's own limits, every prospect is checked against the CRM first, and any reply pulls that person out of the sequence immediately. Twelve weeks produced 960 conversations and zero platform restrictions.

Five steps from the first call to a system your team runs itself

  1. Step 1

    Map

We map the process end to end, in the tools you already run. Nothing gets built until it is written down.

  2. Step 2

    Prove

Every workflow runs report-only for a full week. We read the log together, and only then does it get permission to write.

  3. Step 3

    Ship

One process at a time, so the team absorbs a single change and each one is proven before the next starts.

  4. Step 4

    Hand over

Documented well enough that your own team edits the rules. The ops lead owns them, not us.

  5. Step 5

    Answer

When something breaks, the person who built it picks up. There is no queue between you and whoever wrote the workflow.

The portfolio

Three systems live. More coming.

Ops, onboarding and outbound: every one mapped, proven in report-only mode, and handed over to the team that runs it.

Who we build it for

B2B SaaS

A 40-person B2B SaaS usually has every tool it needs and nothing connecting them, so each handoff is a person retyping data that already exists one screen away. We map the processes end to end and ship them one at a time, each proven in report-only mode before it writes.

Home Services

A home services business loses work in the gaps: an enquiry that sits overnight, a quote nobody chased, a job that starts before the paperwork arrived. We automate the routing and the chasing so the office stops being the bottleneck. A plumbing firm was one of the businesses onboarded on a system we built.

Dental Practices

A practice runs on admin that only happens because somebody remembers to do it: chasing a form, confirming a booking, following up a plan the patient never came back for. We automate the remembering. A dental group was one of three clients onboarded on a build where 214 reminders went out and none came from a person.

HVAC Services

An HVAC company runs on the office keeping up with the field: the call that came in at nine at night, the quote nobody chased after the site visit, the maintenance agreement that lapsed in July. We automate the routing, the chasing and the renewals so the office stops being the bottleneck when the season hits. The closest build onboarded a plumbing firm, the same shape of business.

Agencies

An agency's onboarding is the first thing a client experiences and usually the least designed part of the business. We automate the five stages between signature and live so the chasing is done by a system rather than by a delivery lead. On a recent build median time to live fell from 9.4 days to 2.1 across 38 clients.

Questions we get asked

What does an engagement actually look like?

We map the processes end to end, then ship one at a time. Each one runs in report-only mode for a week before it is allowed to write anything. We read the log together, and only then does it get permission.

Will automating this mean cutting staff?

It has not on any build we have done. On the last one, 491 hours a month came back to the team and nobody was let go. They moved onto work that needs judgement.

Do I have to switch tools?

No. We work inside the tools you already use (HubSpot, Pipedrive, Airtable, Make, n8n, Zapier) and match your existing process instead of forcing a new one.

What happens after you finish?

Everything is documented and handed over so your team can run it. On the last build, the ops lead edits the rules now, not us.

Which part of your operation eats the most hours each week?

Tell us. You get a written answer on what to automate first, free, whether or not we ever work together.
